HELP & GUIDES
Gym owners & admins
Last updated: September 2026
1. Your gym site is already live
Signing up created your gym's own website at your chosen subdomain: logo, colors, story, class schedule, and a join flow. Everything on it is edited from the admin console: Content for photos, testimonials, and your waiver document; Settings for your name, tagline, logo, and brand color. The brand color restyles your whole site and member dashboard.
2. Set up membership plans
Under Memberships, create the plans you sell: recurring monthly plans or class packs with a fixed number of sessions. Class-pack credits count down automatically at check-in, and a member with no credits left is stopped at the kiosk until they renew.
To take real payments, connect your own Stripe account under Billing. You keep your own processing rate, and GymOS never sits between you and your money on dues.
3. Add your staff and trainers
Add trainers and front-desk staff under Staff. Trainers get their own dashboard with their assigned members, evaluations, and fight-camp tools; front desk gets check-in and billing operations without full admin access. Roles decide permissions everywhere; there is no separate password system to manage.
4. Build the schedule
Create class sessions under Schedule: type, trainer, capacity, and time. Capacity is enforced: when a class fills, members join a waitlist and are promoted automatically the moment a spot opens. Class reminders go out to enrolled members automatically.
5. Day-to-day operations
Check-in: put the kiosk (your site's /kiosk/check-in page) on a tablet at the door: members type their 8-character code; front desk can also check anyone in manually. Dues: overdue dues are flagged on the member and in your analytics; record manual payments or let Stripe checkout handle it. Store: sell merchandise with live inventory under Products.
The Analytics section is your weekly pulse: attendance, revenue, class engagement, member progression, and an at-risk list of members whose visits are dropping off; reach out before they cancel, not after. Every sensitive action is recorded in the Audit log.
6. Growing further
Multi-location: group gyms under one franchise; one membership works at every location and analytics roll up across sites. TV leaderboard: put /leaderboard on a screen in the gym; it ranks your most active members (first name + last initial only) and updates itself. Smart devices: feed heart-rate monitors and punch trackers into member histories under Integrations. White labeling: your own domain and fully hidden GymOS branding, as an add-on.
If something goes wrong
Every admin can file a support ticket from the Support section of the console. For billing questions, include the member and the due or payment in question; the audit log usually already has the answer.
